System Emails to Users
System Invitation Email
To send a system invitation email, you need access to the employee profile and the outgoing mail server must be configured.
To send an invitation email:
- Open the profile of the required employee.
- Go to the Access tab.
- Click the Send invitation button.
- A message with the invitation will be sent to the email address specified in the employee’s profile (in the General tab).
To accept the invitation, click Accept invitation. You will be redirected to the system login page. The invitation link in the email is valid for 14 days.
- The Send invitation function is available only if:
- The employee’s login is specified
- The employee’s email address is specified
- An access role is assigned
If you see the message Invitation sent in the system but the employee did not receive the email, check the outgoing mail server configuration.
Password Change Notification Email
A password change notification email is sent in two cases:
- If you changed your password yourself
- If the system administrator changed your password
The user does not receive a password change notification email in the following cases:
- If the system administrator sets a password in the employee profile for the first time (i.e., the user had no password previously)
- If the user recovers their password independently via email
- When an invitation email was sent and the user set their password
Password Recovery Email
If you forgot your password:
- On the login page, click Forgot your password?
- Enter your login.
- An instruction for password recovery will be sent to the email address specified in your profile.
The password recovery link is valid for 24 hours. When the link expires, the following error appears:
The link has expired. Please repeat the password recovery procedure.
Outgoing Mail Server Test Success Email
After saving the parameters configured in the outgoing mail server settings, a connection test is performed. If the mail server is configured correctly, an email will be sent to the specified address.
Diagnostic Events Email
Diagnostic events generated by the system are sent to the system administrator’s email server. Examples of events:
- Backup creation error
- Error in the latest system synchronization with AD
- Outgoing mail server email delivery error
- High CPU load detected on the application server
- Growing activity queue detected
- Activity synchronization failure between databases
- Low memory detected on the application server
The System notifications toggle in the system administrator’s profile controls consent to receive these notifications. By default, this setting is enabled.
Email frequency can be changed in the config file com.operavix.subsystem.core.json. By default, one email is sent per hour.
The email displays:
- Type
- Level
- Message
- Module
- Time
